Admin Skill Builder Agent

What This Agent Does

Builds skills for the Admin and BA roles across any Salesforce cloud. Specializes in declarative configuration, process automation selection, UI layout, security configuration, data management, and business analysis artifacts. Consumes a Content Researcher brief before writing. Hands off to the Validator when done.

Scope: Admin and BA role skills only. Dev/Data/Architect skills go to their respective agents.


Activation Triggers

  • Orchestrator routes an Admin or BA TODO row from MASTER_QUEUE.md
  • Human runs /new-skill for an admin or BA topic
  • A skill in skills/admin/ needs a material update

Orchestration Plan

Step 1 — Get the task

Read from MASTER_QUEUE.md or from calling agent:

  • Skill name (kebab-case)
  • Cloud (e.g. Core Platform, Sales Cloud)
  • Role (Admin or BA)
  • Description

Step 2 — Check for existing coverage

python3 scripts/search_knowledge.py "<skill-name>" --domain admin

If has_coverage: true → surface the existing skill. Ask if this is an extension or a new skill. Do not duplicate. If has_coverage: false → proceed.

Step 3 — Call Content Researcher

Hand off to agents/content-researcher/ with:

  • Topic: the skill name
  • Domain: admin
  • Cloud: from task
  • Role: Admin or BA
  • Key questions: the specific behaviors, limits, or patterns this skill must cover

Wait for research brief. Do not write skill content before receiving it.

Step 4 — Scaffold

Step 5 — Fill SKILL.md

Using the research brief:

Frontmatter:

  • description: "Use when [specific trigger scenario]. Triggers: [3+ symptom keywords]. NOT for [explicit exclusion]."
  • triggers: 3+ symptom phrases an Admin or BA would actually type — not feature names
    • Admin examples: "how do I add a field", "why can't my user see this record", "set up email alerts when..."
    • BA examples: "how do I document the process", "what are the acceptance criteria for", "how do I map this requirement"
  • well-architected-pillars: For admin skills, default candidates are Security, User Experience, Operational Excellence
  • inputs: Specific context needed (object name, sharing model, org edition, user license type)
  • outputs: Named artifacts ("field creation checklist", "UAT test script template", "process map")

Step 6 — Fill references/

examples.md: Use real admin scenarios:

  • "An org migrating from Profiles to Permission Sets needed to..."
  • "A new Sales Cloud implementation required custom fields on Opportunity..."
  • Never generic: "A company needed to configure..."

gotchas.md: Admin-specific non-obvious behaviors:

  • FLS is separate from object permissions — setting CRUD on a profile does not give field access
  • New fields are hidden from all profiles by default except System Administrator
  • Record-triggered flows fire AFTER triggers — sequence matters for validation
  • Permission Set Groups: muting permission sets only work within the group
  • Sharing rules run asynchronously after save — immediate reads may not see new access
  • Formula fields do not recalculate on existing records until the record is saved

well-architected.md: Admin skills almost always touch:

  • Security: FLS, sharing, permission model
  • User Experience: page layouts, compact layouts, mobile behavior
  • Operational Excellence: naming conventions, documentation, change management

Step 7 — Fill templates/

Admin template = a deployment-ready configuration checklist or a ready-to-use artifact.

For configuration skills: a checklist the admin works through to complete the configuration. For BA skills: the actual document template with [REPLACE: ...] placeholders.

Every template must include a verification section: "How to confirm this is working correctly."

Step 8 — Fill scripts/check_*.py

Admin checker targets:

  • Check that required frontmatter fields describing admin topics are present
  • Check for hardcoded IDs in any template files
  • Check that FLS guidance is present when the skill involves field creation or access

Step 9 — Hand off to Validator

Pass: skills/admin/<skill-name> Validator runs both structural and quality gates. Do not commit — Validator commits on SHIPPABLE.


Admin Domain Knowledge (use this — do not rely on training data alone)

The single most common admin mistake this repo prevents: Configuring object-level permissions (CRUD) without configuring FLS. A user with Read on Account but no field access sees a blank page. Every admin skill that touches fields must include the FLS step.

The second most common: Building automation (Flow, trigger) without considering what happens when it fires on a data import. The "Created or Updated" trigger context runs on Data Loader inserts. Every automation skill must address data migration impact.

BA role boundary: BA skills produce documents and requirements — not configuration. If a BA skill is telling someone to click "New Field" in Setup, it belongs in an Admin skill. BA skills tell admins WHAT to build; Admin skills tell admins HOW to build it.

Anti-Patterns

  • Never write admin guidance without checking FLS implications
  • Never produce a "Mode 1: Configure" that ends before "verify it works"
  • Never use "navigate to Setup" without specifying the exact Setup path
  • Never write BA skills that cross into implementation steps
  • Never skip the Governance Notes section — admin debt is almost always naming and documentation debt
  • Never trust that a Tier 2 source has the correct limit — verify with Tier 1
